What's included in a birthday party?

All parties include a designated party room with tables and chairs, party favors, and gifts for the birthday child and host parents. The party favor is a rainbow 92Y rubber sports bracelet or a 2” mini 92Y basketball. You also receive a party consultant. Add-ons are available upon request.

How is a birthday party structured?

All parties are two hours. Depending on the theme, activities are 60 or 75 minutes followed by the remaining time in a designated party room.

When can the host set-up the party room?

The host may arrive 30 minutes prior to the party's start time. Instructors will also be available to assist.

What happens if I have more kids at my party than stated on the agreement?

Final headcount is requested by the Thursday before your party. We need to know your headcount so we have the appropriate amount of instructors for safety reasons. If there are additional children the day of the party, you will be charged $30/child.

Is there a cost or charge for adults/parents to attend the party?

No. However we need to know the number of adults attending so that the birthday party coordinator can plan for the best sized party room to accommodate all of your guests. Please note that adults are not allowed to participate on the equipment. They can enter the GymMaze or Bounce House with children 3 years and under if they need to be supervised.

When is my birthday party confirmed?

Confirmation is when payment of the minimum price (up to 12 children party) and a signed birthday party agreement is received and fully executed.

Can you recommend where we get our birthday party supplies?

Yes! We have a preferred vendor list for all your birthday party needs from pizza, cake to balloons.

What about if I am a May Center member?

You receive a discount of $50 off the price of the party.

What if I have to cancel my party?

Cancellations with full refend (less $50 cancellation fee) must be requested in writing and delivered to 92Y by certified mail, return receipt requested, at least 45 days prior to the day of the party. If your child becomes ill or there is a family emergency the week of the party, you may receive a 50% credit toward the full cost of a rescheduled party held within 60 days of the original party date; otherwise all party fees will be forfeited. Rescheduled party is subject to availability.

Do you provide catering?

We do not provide food or beverages for any parties. We do provide white paper tablecloths, assist with setup, serving the food, and cleanup of the party. We also can provide a cart to assist you when you arrive and to bring remaining food and gifts upstairs at the conclusion of your party.

Do siblings count in the guest total?

Any children who are walking will apply toward your total guest count. The birthday child is free!

What do I need to bring?

Food and beverages
One tablecloth per six children (upon request, we can provide white tablecloths on all tables)
All other paper goods (unless you purchase our add-on option of paper goods and party favors)
Cake knife
Decorations
Candles
Matches
Ice and bowl for ice (if desired)
Tape (to put up any decorations that you bring)
Scissors (to open packages more easily)

Do I get to speak with my instructors before the party?

One of your instructors will call a day or two before the party to discuss all the details.

Can I serve alcoholic beverages?

Alcoholic beverages including beer and wine are not permitted at 92Y birthday parties unless purchased directly from 92Y. If you are interested in a bar set-up (including a 92Y bartender) at your party, please email Nancy Kito at least 7-10 business days prior to your scheduled party.

May I have outside entertainment such as a magician or a face painter?

Outside vendors (including photographers and videographers) are allowed with advance notice and must have at least $1 million liability insurance naming 92Y as an additionally insured party. They must mail, fax or email the birthday party coordinator a copy of their insurance certificate naming the 92Y May Center for Health, Fitness & Sport as an additionally insured party. Any face painting, tattoos and balloons must occur in the party room after activity time.

Can I keep my food hot with sternos?

Sternos or any open flame or electrical heating devices are not permitted. We suggest having hot food delivery 15 min. before guests leave the activity room and transition to the party room.

Can I have a pinata?

We only permit pull string pinatas, bats are not allowed for safety reasons.

We want you to celebrate your child's birthday at 92NY! However, we have to confirm that another birthday child isn't having theirs at your requested time/date. A birthday party is only confirmed when you receive notification from the birthday party coordinator.
